We are currently recruiting for a leading independent provider of investment management, accountancy, tax, corporate, and financial advisory services to private clients, corporates, professional practices, and non-profit organizations. With 13 offices in the UK and Ireland, 1,600 employees, and an international capability in over 100 countries, our aim is to provide an innovative global service.Purpose of role:To provide administrative and planning support to nominated Financial Planners, Associate Directors, and Partners. This is a non-advisory role.Key responsibilities:Accurate Record KeepingObtaining and ensuring that the written “know your client” information is on fileLogging “know your client” information onto Adviser Office (AO) and storing it on a permanent fileKeeping AO updated when new policies, unit statements, and valuations are receivedEnsuring that all client records/files are in keeping with company standards and information is updated in a timely fashionClient administrationCompletion of money laundering formsSetting up new client records on AOEnsuring that cheques are passed onto insurers and acknowledged on the day of receiptCompleting New Business Checklist to ensure transaction is fully compliantPreparing files for technical unit and/or para-planner teamLiaising and working with the technical unit / para-planner teamLiaising with clients and other firms to ensure paperwork and technical information is obtained within agreed timeframesResearch and reportingResearching product markets in connection with client-specific requirementsObtaining illustrations from insurers along with technical information, performance enquiries, and general provider informationAnalyzing raw data to assist Advisers in making client recommendationsAnswering client admin queries on the telephone, via email, and in writingResponding to client correspondence in a timely and professional mannerMaking accurate notes to record telephone conversationsAttending meetings with clients as requiredHandling retirements (if appropriate)Research the market to obtain the best rates if an annuity is selectedResearch fund performance/charges if another retirement vehicle is selectedAssist in the preparation of fee notesCustomer Focus: an understanding that the client comes first and client expectations must always be exceeded in order to maintain a good relationshipCommunication skills: ability to deal with people at all levels (internally and externally including clients) and to communicate ideas clearly and professionally. Good grammar and spelling are essential for producing concise, well-structured documents, taking into account the reader''s requirementsPlanning and Organizing: must be organized and able to assist with the implementation of procedures within the team to streamline administrationJudgment: use judgment at all times to determine whether a task falls within your scope of responsibility and, if not, whose responsibility it isTeamwork: work as part of a team, support, share, and cascade relevant informationCandidate ProfileEducation/Qualifications:Strong academic historyRelevant professional qualifications are an advantage but not essentialKey Experience/Skills:Excellent time management and organizational skillsExcellent communication skills, both written and oralAbility to work well under pressure with the ability to prioritizeWorking knowledge of Microsoft Office packages
