This position requires strong organizational, communication, and multitasking skills. The administrator will act as the first point of contact for office-related matters, coordinate office activities, manage office supplies, and provide administrative support to management and staff as needed.Key ResponsibilitiesAnswering phone callsMeeting and greeting visitorsAssisting in the onboarding process of new employees (setting up workstations, providing office orientation, etc.)Liaising with Xeinadin Anti-Money laundering departmentDiary management for the managing director which includes scheduling and coordinating meetings, appointments, and conference callsAssisting with proposal preparation for potential clients when requiredMaintain client’s information in line with Xeinadin guidelineOrdering and managing office supplies and inventoryHandling incoming and outgoing mail and email correspondenceScanning documents and filing digitallyAssisting with basic bookkeeping tasks, such as processing invoices and receiptsBanking cheques and delivery of post to the post office for registered deliveryGenerating weekly KPI and potential client list, opportunities and prospectsPreparing and filing confirmation statements for clientsKey RequirementsProven experience as an office administrator in a fast-paced environmentVery high level of attention to detail and accuracyConfident communicator with personnel at all levels within the business, both written and verbalProficient with Microsoft Excel, Word, Outlook etc.Additional RequirementsProfessional and friendly demeanourExcellent time management skills - handling multiple and varied deadlines concurrentlyOrganised, proactive, reliable and self-motivatedPositive attitude towards process changes as well as ITModelOffice BasedSalaryCompetitiveBenefitsCompany Pension Scheme25 days of annual leave + bank holidaysAdditional annual leave days from certain levels of seniorityAbility to buy up to 5 days of annual leave to reach a maximum of 30 days per annumBusiness closure over Christmas*Life Assurance x4 annual salaryEnhanced family leave policiesEnhanced Company Sick PayEmployee Assistance Programme – 24/7 support, free and confidentialCorporate Discounts PlatformFlexible Benefits platform with ability to opt-in to various insurances (level of seniority dependent and self-funded at corporate rates) such as:PMI single or familyCritical Illness CoverCash planCycle to workEye careDental*subject to exceptions and business needs
