The EA to the managing director must be aware of the organisations aims and objectives and work to help the MD make the best use of his time by assisting in various projects as well as dealing with all secretarial and administrative tasks. The EA will be the first point of contact with both internal and external people. Discretion and confidentiality are essential attributes to be successful at this role.Main Tasks
Email management outlook experience essentialBooking meetings/appointments for exclusive requestsManage the Director''s calendar and appointmentsAssist with project coordination and follow up on action-ed itemsBusiness travel booking flights, hotels, car hire, valet parking etcChecking various CRM reports produced by the admin, accounts and technical teamsFielding calls for MD and taking messagesManaging various contractor services, insurances, utilities and company expensesCarrying out research for particular projects as requested by MDOrganising corporate and staff eventsTaking minutes at various management meetings and typing up minutesOrganising interviews/ liaising with recruitment agenciesPurchasing various items for MD as and when requiredPaying personal bills for MDOrganising MDs personal /properties, cars insurance, MOT, servicing, repairs etc.Assisting MD with personal holiday/eventsHandle confidential correspondence and documentationAd hoc paperwork and dutiesTechnical and Essential Skills
Knowledge and experience with complex travel and flight itineraries, particularly international travel/hotel bookingsExperience of working for Directors/Senior ManagementExcellent Diary Management with the ability to pre-empt and look ahead at all timesEssential experience in Microsoft Office- Outlook/Word/Excel/PowerpointInterpersonal Skills
Ability to multitask and experience of dealing with a demanding roleAbility to prioritise work and manage time effectively and be proactiveExcellent Organisational skillsCommunication skills the ability to communicate well at all levelsDemonstrate a professional manner at all times and possess the ability to remain calm under pressureSelf-motivated and creativeAbility to maintain a high level of discretionAdditional Info
