Description

Purpose of role

To provide comprehensive business and project support to the Strategic Director, Directors, Assistant Directors and to other members of the Children''s Leadership Team as required in a professional and confidential manner.

Manage general project work and support the Senior Leadership Team with the delivery of core programmes of work and change initiatives, in line with Directorate Service Plans. Conduct administrative tasks as designated by the Directors/Assistant Directors.

Be the first point of contact for the Director / Assistant Director for internal and external enquiries and support the development of effective relationships with a variety of stakeholders at all levels within a complex and sensitive political framework.

Key accountabilities:


* Provide support to the Director/Assistant Directors required to ensure they are informed of important issues of political, financial and reputational risk, particularly relating to topical and sensitive issues that are a priority for the business and liaise with key stakeholders on these issues where appropriate.

* Undertake project and development work as directed by Senior Leadership to deliver the required outputs and support the strategic objectives of the service. This includes planning work programmes and schedules to ensure forward planning, managing communications, progressing actions and driving progress.

* Exercise knowledge of the full range of legislation and Government policy affecting Local Government and its services, responsibilities and the organisation as a whole, and to undertake research and gather intelligence on key policy changes, issues and projects as directed and in support of the Strategic Director.

* Exercise understanding of the Council''s decision-making process and the form and function of Cabinet, Committees and Scrutiny in day-to-day tasks and activities, supporting the Strategic Director in their preparedness for all engagements.

* Provide guidance and support to the Senior Leadership Team on the administrative use of Information and Communication Technology (ICT) facilities and identify opportunities to utilise ICT for improved service delivery, including supporting with new AI and technology initiatives.

* Manage and maintain the Strategic Director/Assistant Director''s diary (and other Senior Leadership members as required) organising and prioritising meetings and appointments to ensure that leadership time is utilised effectively, and core programmes of work can progress to schedule.

* Arrange and provide support to meetings and conferences at the request of Assistant Directors and in line with active projects. Including the efficient creation of agendas, project updates, paperwork and reports, arranging travel, assisting attendees, taking minutes or action points, producing reports and undertaking any follow up action as appropriate ensuring that due processes are followed.

Essential knowledge, skills and abilities:

* Experience of providing administrative /project support to senior managers or substantial experience of administrative role working with senior managers


1. Ability to undertake gather intelligence and present information concisely and accurately to a variety of audiences.
2. Experience of managing the delivery of projects
3. Demonstrate awareness of political and operational sensitivities and risks to support the Strategic Director and Senior Leadership Team accordingly.
4. Excellent and effective interpersonal and communication skills both oral and written. The ability to draft a variety of documentation unsupervised and the ability to ensure that information is clearly understood by a variety of recipients
